    Maintenance Dispatch Manager

    Property Maintenance & Construction – Denver, CO

    Job Summary

    Dispatch Manager needed to manage and oversee all aspects of the Property Maintenance Division.

    Overview This position is designed to communicate effectively with both technicians and customers to ensure that services are consistently completed on time as we work to meet the needs of our customers.

    Customer Service:

    ·         Provide excellent customer service by ensuring work orders / projects are dispatched on time, with proper job information and manage jobs to ensure technicians hours and budgets are met. efficient courier service for customers according to route schedules and On Demand requests.

    ·         Manage and track technicians time via dispatch software. (Corrigo Work Track)

    ·         Manage customers complaints, and requests for service.

    ·         Keep customers notified of changes with schedules and job descriptions.

    ·         Maintain appropriate customer data, including key contacts or address changes.

    Responsibilities and Duties

    ·         Schedule and dispatch Technicians, Vendors and Independent Contractors to appropriate locations according to customer requests, specifications, and needs.

    ·         Track equipment and tools on a per job basis.

    ·         Receive, input, and distribute work orders and track until completion.

    ·         Invoice work orders and prepare reports as required by management.

    ·         Manage contracts with Vendors and Independent Contractors to ensure all new and existing work orders are complete and invoiced.

    ·         Record and maintain files and records of customer requests, work or services performed, charges, expenses, inventory, and other dispatch information.

    ·         Resolve work order, customer service questions, and job issues as needed.

    ·         Manage and motivate technicians, vendors, and independent contractors daily.

    ·         Evaluate importance of incoming telephone calls and prioritize accordingly.

    ·         Manage and oversee warehouse to maintain and track equipment and tools.

    ·         Oversee and manage emergency calls and invoice upon completion.

    ·         Hire/Fire/Manage all in house technicians to make sure project procedures are followed, proper information reported, equipment tracked and returned.

    ·         Manage technicians, Vendors and Independent Contractors to make sure all work orders are completed on time and within budget.

    ·         Prepare proposals for bid requests and follow up until approval.

    ·         Other duties/tasks as assigned.

    Qualifications and Skills

    ·         HS/GED or equivalent experience required. Previous experience with dispatch software a plus.

    ·         Excellent verbal communication and problem-solving skills.

    ·         Computer skills including Microsoft Word, Outlook, Internet, & dispatch software.

    ·         Interpersonal skills; ability to foster teamwork and motivate/coach others.

    ·         Knowledge of construction, repair, and maintenance work a plus.

    ·         Knowledge of principles and processes for providing customer service.

    ·         Make optimum decisions under pressure and time constraints.
